IMPORTANT CONSIDERATIONS

PREPARATION

  1. Be sure that the new location is ready (e.g. elevator service, contractors finished).
  2. Obtain parking permits if necessary.
  3. Prepare scale drawing for new office layout.
  4. Start packing early, clearly label all furniture & boxes.
  5. Assign one person to supervise the moving company the day of the move.

CHOOSING A VENDOR

  1. Contact companies 90 days prior to the move.
  2. Look for companies with reliable trained help, ask who will supervise the move.
  3. Check references.
  4. Ask for detailed explanation of insurance coverage & claims procedure.
  5. Ask salesperson for personal resume & business reference.

PREPARATION/INSTRUCTIONS
In order to make your relocation as smooth as possible and keep down time to a minimum, we have prepared the following:

  1. All items must be labeled to identify the new location by floor and room number. If color labels are being used, make sure you're using the right color.
  2. Each office or work area must have a floor plan posted showing the location of all furniture. Accurate drawings are a must to keep you from rearranging your office.
  3. All packing and labeling must be completed prior to the movers arrival. In addition, all employees and personal items should be out of the building 15 minutes before the scheduled starting time, with the exception of your company move coordinators.
  4. Your company coordinator for the move is _____________________________________

INSTRUCTIONS

Desks
Credenzas
L-units

Contents must be packed in cartons. Place sensitive materials in locking file cabinets. Lock all drawers and keep keys with you. Place location label on top of desks, credenzas and L-units.

Packing Cartons

These will be provided by your company/Hawkeye Moving & Storage.
Location label to be placed on small end of box.

Work Tables

Pack materials on table top and/or drawers in cartons. Lock all drawers and keep keys with you. Place location label on table top.

Bookcases

Contents must be packed in cartons. Place location label on the front upper corner or top.

Filing Cabinets
(upright type with pull out drawers)

Leave contents in drawers. Move pressure plates forward to secure contents. Locks or lock bars should be secured, keep keys with you. Place location label on the front of the cabinet.

Lateral Filing Cabinets

Contents of top two drawers must be packed. Lock drawers and keep keys with you. Place location label on the front of the cabinet.

Portable Calculators/
Dictation equipment

Pack in cartons.

File Trays

Place single trays in bottom of cartons. Secure post to tray with tape. If trays are too large for cartons, they may be kept loose. Place location labels on the top.

Card files
Desk organizers
Other desk Accessories

Pack in cartons. If these are too large for cartons, they may be kept loose. Place location labels on the top.

Waste baskets

Empty and clean. Place location label on side.

Typewriter

Remove cover and cord, then pack. If cord is not removable wrap around machine and secure with tape. Secure typewriter carriage by setting both margins at center. Place location label on the top or side of the machine.

Calculators

Remove cover and cord, then pack. If cord is not removable wrap around machine and secure with tape. Place location label on the top of the machine.

Carpet protectors
Desk pads

These will remain loose. Place location label on top.

Form racks

Contents must be packed in cartons. Place location label on the upper front corner or top.

Personal

These are your responsibility. Personal desk items may be packed in cartons at your own risk. Location label if cartoned.

Chairs

If casters are loose, remove and pack in cartons. Place location label on the rear of the back rest or leg.

Pictures

Small pictures may be packed in cartons. Large pictures may be left loose. Place location on rear.

Storage cabinets

Contents must be packed in cartons. Lock doors and deep keys with you. Place location label on the front of cabinet.

Lamps

Remove shade from lamp. Remove bulb and pack in carton. Wrap cord around base securely. Place location label near base of lamp and around metal supports at the top of shade.

Glass tops on Desk

Leave as is. However, papers under glass should be removed.
Place location label on top (don't forget to label the desk).

Computer

Park the disk drive and disconnect all cords. Roll up and tape cords together. Place location label on each piece.

Copy machines

Roll up and tape power cord. Place location label on top. Check with service technician for moving requirements.

Flat files

Contents must be packed in cartons. Place location label on front (including base).

Metal shelving

Place location label on front upright.

Sofas

Place location label on front leg or on manufacturers label under center cushion.

Coat racks

Place hangers in cartons. Place location label on front.

Drafting tables

Secure straight edge to prevent sliding. Pack contents from drawers. Place location label on front of the table and table top.

GENERAL

All liquids should be moved along with personal items. In the event keys are not available on file cabinets, the cylinder lock should be wrapped in tape to prevent them from being pushed in.

All boxes must be full.

Items for which no specific location on the identification label has been given should be labeled on any flat, easily visible surface.
